Membership Terms and Conditions

  1. Introduction

These Terms and Conditions govern membership with IME College Australasia (“the College”). By applying for and maintaining membership, individuals and organisations agree to comply with these Terms and Conditions, as amended from time to time.

  1. Membership Categories

The College offers the following membership categories:

2.1 Fellows
Awarded to senior professionals who have demonstrated substantial experience, expertise, and contribution to Independent Medical Evaluation (IME) practice and education.

2.2 Ordinary Members
Open to suitably qualified professionals actively engaged or interested in IME practice or related fields.

2.3 Early Career Members
Available to professionals in the early stages of their career, including trainees or those newly entering IME-related practice.

2.4 Corporate Members
Available to organisations that support the objectives of the College, including insurers, legal firms, and healthcare organisations.

  1. Eligibility Requirements

3.1 Applicants must:

  • Demonstrate appropriate qualifications, experience, or interest relevant to IME practice or associated disciplines.
  • Be of good character and professional standing.
  • Not have any serious criminal history or findings that may bring the College into disrepute.
  • Disclose any matters that may affect their eligibility at the time of application or during membership.

3.2 The College reserves the right to request supporting documentation and to accept or decline applications at its discretion.

  1. Membership Approval

4.1 All applications are subject to review and approval by the College or its delegated authority.
4.2 The College may refuse membership without providing detailed reasons, while ensuring procedural fairness.

  1. Membership Obligations

Members agree to:

  • Uphold the integrity, independence, and objectivity of IME practice.
  • Maintain professional and ethical standards consistent with their discipline.
  • Comply with all College policies, guidelines, and codes of conduct.
  • Maintain any required professional registration or licensing relevant to their role.
  • Notify the College of any change in circumstances that may affect their membership status.
  1. Use of Post-Nominals and Membership Status

6.1 Members may use approved post-nominals or membership designations only while their membership is:

  • Current, and
  • In good standing.

6.2 Use of post-nominals must:

  • Expiry, suspension, or termination of membership.

  1. Membership Fees

7.1 Membership fees are:

  • Set annually by the College, and
  • Payable in advance.

7.2 Membership is not considered active until fees are paid in full.

7.3 Fees are generally non-refundable, except at the discretion of the College.

  1. Renewal of Membership

8.1 Membership is subject to annual renewal.
8.2 Renewal requires:

  • Payment of applicable fees, and
  • Continued compliance with eligibility and conduct requirements.

8.3 The College may decline renewal where a member no longer meets required standards.

  1. Suspension and Termination

9.1 The College may suspend or terminate membership where a member:

  • Breaches these Terms and Conditions
  • Engages in conduct that may bring the College into disrepute
  • Fails to maintain professional standards
  • Provides false or misleading information
  • Is subject to criminal conviction or professional disciplinary action

9.2 Where practicable, the member will be notified and given an opportunity to respond.

9.3 Suspension or termination results in immediate loss of membership rights and privileges, including use of post-nominals.

  1. Resignation

10.1 Members may resign at any time in writing.
10.2 Resignation does not entitle the member to a refund of fees.

  1. Corporate Membership Conditions

11.1 Corporate Members:

  • Must nominate a primary representative.
  • Agree to support the educational objectives and independence of the College.
  • Must not exert undue influence over educational content, assessments, or standards.

11.2 Corporate membership does not confer individual professional status or post-nominals to employees unless they hold separate individual membership.

  1. Professional Conduct and Reputation

12.1 Members must conduct themselves in a manner that:

  • Upholds the reputation of the College
  • Supports evidence-based and unbiased IME practice
  • Avoids conflicts of interest or declares them appropriately
  1. Privacy and Confidentiality

13.1 The College will handle personal information in accordance with applicable privacy laws.
13.2 Members consent to the use of their information for administrative and professional purposes related to membership.

  1. Amendments

14.1 The College reserves the right to amend these Terms and Conditions at any time.
14.2 Members will be notified of significant changes.

  1. Governing Law

These Terms and Conditions are governed by the laws of Australia and applicable state legislation.

  1. Acceptance

By applying for or renewing membership, the applicant or member acknowledges and agrees to these Terms and Conditions.

Enrolment Terms and Conditions Policy

1.0 INTRODUCTION

1.1 Context 

The Independent Medical Evaluators College Australasia Pty Ltd (IMEC) is an Australian owned company offering nationally recognised training. IMEC provides Training Products in a range of areas such as Permanent Impairment Assessment using the AMA Guides for the Evaluation of Permanent Impairment 4th, 5th and 6th Editions, and Fundamentals in Independent Medical Examination evaluation. 

1.2 Purpose

This policy provides the principles which govern student withdrawal, deferral, extensions, transfers from IMEC courses and refund of fees paid by students. The related processes are outlined in the Withdrawal, Deferral, Extension, Transfer and Refund Procedure.

1.3 Scope

This policy applies to all prospective students and current students enrolled in IMEC’s nationally recognised Training Products including where a student accesses government funding or traineeships. This policy applies to all IMEC staff and third-party staff involved in processes related to student administration and refunds.

1.4 Scope Exceptions

The policy only applies to nationally recognised Training Products, not to unaccredited training.

2.0 RESPONSIBILITIES

  1. All those referred to under the Scope of this policy are responsible for complying with the terms and its procedure.
  1. Specific responsibilities are provided in the IMEC Withdrawal, Deferral, Extension, Transfer and Refund Procedure.

Studying a short course with IMEC

When you study a short course with IMEC (Course), you agree to comply with these terms, our General Terms and our Policies.

Our Policies include those regarding Privacy (and how your personal information is collected and managed), any policies regarding health and safety requirements or vaccinations, and Student Conduct.  

Our Policies may be updated from time to time, and we may develop new policies. We will publish new policies and any updates on this website.  Where appropriate, we will notify you of important changes to our Policies, either by email, with a notice on our site, or as an item in our news section.  We recommend you check our site regularly for any updates, as they will apply to you from the time they are updated.  

Payment and discounts

For individuals, payment for the Course is required at the time of enrolment or booking.
For organisations booking a Course for numerous team members, personnel or nominated participants, we will usually issue an invoice when a purchase order or relevant letter of authority is received by us. This invoice must be paid in full as required by the invoice or prior to course commencement, whichever comes first. 

Generally, a full course fee is still payable, even if a participant does not attend or login (as applicable) to the relevant Course.  

Some courses may be paid for in conjunction with a promotional code or other discount arrangement. Promotional codes may only be redeemed once per person during the relevant promotional period to provide a Course fee discount. Unless otherwise specified in promotional terms, the total amount of all applicable discounts may not exceed 25% of the Course fee. Generally, you must notify us before you make payment if you are eligible for any discounts.

Changes, cancellations and conditions by IMEC

We may need to change a Course’s details or cancel a Course because of circumstances beyond our reasonable control, including insufficient enrolments.  If a Course is cancelled by us, we will offer you a refund or an alternative enrolment in a different Course, or a later Course offering.   

Additional conditions of enrolment may apply to some Courses including whether the Course is delivered online, in-person, flexibly or blended. Other key features and terms may also be set out in the relevant Course guide or FAQ page.

Cancellations by students

You may cancel your Course enrolment at no cost, with a full refund, provided that you make the cancellation in writing to us at least 7 Business Days prior to the Course start date.

An administration fee of 50% of the Course fee will apply if a request to cancel is made within 5 Business Days of a Course start date.  If a Course start date has already passed, we are not obliged to provide a refund at all.

We require that you provide your cancellation or request for any refunds in writing (including email).

No refunds if you cancel on the day of or after a Course has commenced.

Refunds will only be credited to the original funding source (e.g. credit card), or via other means as approved by IMEC. 

Full course fee is payable for non-attendance.

Transfers and deferrals

You may transfer to another Course of the same value at no cost, provided you make a request to do so in writing within 10 Business Days of the Course start date.

Whether you can defer a Course depends on whether it is scheduled to run at a later date, if there are sufficient spaces available, and the applicable enrolment process. We cannot guarantee that a Course will always be run at a future date. If we are unable to defer your enrolment, it will be treated as a cancellation.

If you are transferring from another Course, the Course start date will be deemed to be that of the original Course you were first enrolled in.

We will not accept any changes in enrolments, including transfers, after the course starts

General

In these terms, Business Days means any day in metropolitan Brisbane, Australia which is not a public holiday, Saturday or Sunday.

Terms and Conditions Discount Offering Policy

(Effective: 1 January 2024)

  1. Discount Structure
  1. Membership Discount
    • Financial Members (Fellows, Ordinary, Early Career, and Corporate) receive a 10% discount on the full course fee.
  2. Group Bookings
    • Bookings of 8 or more participants qualify for a 5% discount on the full course fee.
  3. Single Discount Rule
    • Only one discount may be applied per booking. The higher of the two discounts (between group and membership) will be granted.
  1. Eligibility & Application
  • Group discount applies only when all bookings are made and paid under a single transaction and reference.
  • Membership discount is available at the time of booking – proof of valid membership status is required.
  • Discounts cannot be combined, and where eligibility overlaps (e.g. members in a group), the membership discount prevails if higher.
  1. Price Display & Advertising
  • All advertised and promotional prices must display the full total cost, including discounts, GST, and applicable fees, as required by ACL and ACCC guidelines
  • Any marketing materials, websites, and third-party listings must present the single lowest payable price clearly—no drip pricing or hidden surcharges permitted
  • Claims like “10% off” must be substantiated and clearly defined; the original “full course fee” used for comparison must have been in effect for a reasonable period prior to promotion to avoid misleading consumers
  1. Legal & Compliance Considerations
  • IME College must comply with Section 18 of the ACL, prohibiting misleading or deceptive conduct in all promotional and pricing representations.
  • Under Section 29 (false or misleading representations), any discount advertised must be honest, accurate, and based on previous bona fide pricing.
  • Under Section 32, the college must actually honor the discount as offered and provided within the timeframe stipulated, or within a reasonable time if no timeframe is stated.
  • Terms and conditions associated with discounts must be clear, accessible and transparent, and disclosures regarding eligibility and limitations must be made prior to booking.
  1. Terms & Conditions Highlights
  • Validity period: Discounts apply only to courses and sessions listed at time of booking.
  • Changes and cancellations: If a booking is altered or cancelled, discounts may be forfeited—rebooking may require re‑evaluation of eligibility.

  1. Purpose

These Terms and Conditions govern the use of post-nominal designations awarded by IME College Australasia (“IMEC”) to members and certificate holders. The purpose is to ensure that all post-nominals are used ethically, accurately, and in a manner that upholds the integrity, reputation, and professional standards of IMEC.

  1. Monitoring and Compliance

IME College Australasia reserves the right to:

  • Audit the use of post-nominals
  • Request evidence of eligibility at any time

  1. Breach of Terms

Failure to comply with these Terms and Conditions may result in:

  • Immediate revocation of the right to use post-nominals
  • Suspension or termination of membership
  • Requirement to remove post-nominals from all professional materials
  • Referral to relevant regulatory or professional bodies (where applicable)

 

  1. Reinstatement of Rights

Individuals who have lost the right to use post-nominals may apply for reinstatement subject to:

  • Rectification of the breach
  • Payment of outstanding fees (if applicable)
  • Evidence of compliance with IMEC standards
  • Approval by IMEC governance

 

  1. Review and Amendments

IME College Australasia reserves the right to amend these Terms and Conditions at any time. Updated versions will be communicated to members and certificate holders and take effect immediately upon publication.

  1. Acknowledgement

By using IMEC post-nominals, individuals acknowledge that they:

Terms and Conditions – Product Purchase

  1. Introduction

These Terms apply to the purchase of products (including educational materials, publications, and resources) from IME College Australasia.

  1. Pricing and Payment

All prices are listed in AUD and include GST unless stated otherwise. Payment must be completed at the time of purchase.

  1. Delivery
  • Digital products are delivered electronically.
  • Physical products (if applicable) will be shipped to the address provided.
    IME College is not responsible for delays caused by third-party delivery services.
  1. Refunds and Returns
  • Digital products are non-refundable once accessed or downloaded, except as required by ACL consumer guarantees.
